How to Start a New Paving Season Without Losing Documentation from Last Year

A Note From Patrick Russo - May Newsletter for OnStation

Every paving season starts the same way: new projects, new crews — and the documentation from last season scattered across old phones, email threads, and hard drives that nobody can find.

For prime contractors and project managers, the gap between seasons isn't just a calendar issue. It's a data continuity problem. Photos from last fall's punchlist don't have location context. Flag notes from crews who have since left the company are gone. The institutional knowledge that helped close out a dispute on Project A in October doesn't automatically transfer to Project B when March rolls around.

This article covers what road construction teams should do at the end of each season to preserve documentation, and what to set up at the start of the next one to hit the ground running. For teams already using OnStation, it also covers how to structure your projects so last season's data stays searchable —and defensible— long after the job is closed.

OnStation + CEI Webinar

When strategic DBE support meets field-ready technology, subcontractors thrive. Disadvantaged Business Enterprises (DBEs) already navigate enough hurdles with tracking down information, paperwork, or payments shouldn't be one of them.

In this 30-minute session, CEI’s post-certification support combines with OnStation’s location-based app to streamline your workflow, boost efficiency, and help you deliver with confidence in the field.

OnStation at MAASTO

The recent MAASTO conference in Minneapolis highlighted key themes of Safety, Stewardship, and Sustainability. Ahead of the event, we connected with customers in Minnesota to gather feedback on how OnStation supports their projects—insights we were able to bring into conversations with public sector partners.

One of the standout moments for us came from Greg Johnson, who is leading the Interstate Bridge Replacement Program. When asked how he sustains momentum while managing 10 public stakeholders plus USDOT, he shared a powerful reminder: “Politics change, but the need for good infrastructure does not.”

From DOT safety initiatives to innovation in stewardship and large-scale sustainability efforts, the sessions reinforced the importance of collaboration to keep transportation moving forward. We’re already looking forward to Cincinnati next year with Ohio DOT!
